How to use every MarketSync feature

Part One follows the rollout top to bottom — set up, fill your lot, get leads, close deals, keep customers, then measure it all. Part Two is the complete capability index, grouped by department the way your dashboard is. Your navigation is simply the departments you're responsible for; each runs on its own engine underneath.

The screen illustrations below are simplified renders to show layout & where to click — your live screens carry your real dealership data.

Set up your store

1. Getting started

Create your account and get the whole team into the dashboard.

  1. 1Go to Sign up free, create your account, and tick the box to accept the Terms & Privacy Policy. No credit card for the 30-day trial.
  2. 2The first account at a rooftop becomes the Owner / Dealer Admin. From Profile & Settings you can invite salespeople and managers by email.
  3. 3Each teammate signs in at the login page and lands on their own dashboard. The left menu is your navigation; the top bar stays fixed as you scroll.

The left menu is your whole navigation — colour-coded by area, collapsed by default. It's the map for this entire guide.

Roles matter: Owner, Dealer Admin and Manager see team-wide tools (leaderboard, appraisals, reports, settings). Salespeople see their own work.

2. Install the Chrome extension

The extension is what fills out Facebook Marketplace for you. Install it once per computer.

  1. 1In the dashboard top bar, click Install extension to open the Chrome Web Store listing, then click Add to Chrome.
  2. 2Pin the MarketSync icon to your toolbar so it's always one click away.
  3. 3Click the icon and log in with the same email/password. The popup now shows your live vehicle queue with a Post button and a safe-to-post indicator on each car.

3. Sync your inventory automatically

  1. 1In Settings → Inventory, add your dealership website or inventory feed URL. You can also import a CSV, or add/edit a car by hand on the Inventory page.
  2. 2MarketSync pulls in every vehicle — photos, specs, price and description — and keeps it current.
  3. 3When a car sells or the price changes on your site, the queue updates so you never post a stale unit. Export the whole book to CSV anytime.

9. Post a vehicle to Facebook Marketplace

  1. 1In the dashboard, click Post to Facebook in the top bar (or open the extension popup). Pick the vehicle you want to list.
  2. 2On Facebook, go to Marketplace → Create new listing → Vehicle, then click Post in the popup.
  3. 3The extension fills every field — year, make, model, mileage, price, description and photos — from your inventory.
  4. 4Review, then click Facebook's Publish. Done in seconds instead of minutes.

  3. 3From then on they pull straight from MarketSync — every new car, price change and sold unit updates automatically. No re-listing.

11. Build your dealer website

  1. 1Open Website in the menu. Use the drag-and-drop builder to arrange sections, set per-page brand colours, and pick your public address.
  2. 2Your synced inventory, Google reviews and an AI sales chat can all appear on the site. Hit Publish and it's live.
  3. 3Website enquiries and chatbot conversations become CRM leads automatically (see the auto-responder, below).

12. CRM: contacts, leads, tasks & calendar

The CRM menu (green) opens the page; the arrow beside it expands its sub-items. Every lead, appraisal, sale and service visit lands on one customer record.

  1. 1Search Customers spans the whole store; My Customer Database is the rep's own book. A tag shows whether each contact is a sales and/or service customer.
  2. 2Leads show the assigned salesperson and a hot-lead score so the list sorts by who to call first.
  3. 3Appointments is a month calendar; book one from a customer's record and it shows here. Tasks is your follow-up queue — automation drops tasks here so nothing slips.
  4. 4On the activity timeline, tap ↩ Reply on an inbound message to answer by email (sends) or log a text/call reply.

The pipeline: every customer sits on one of these stages, and you nudge them right.

13. Send leads to your CRM (ADF/XML)

  1. 1In Settings → CRM, add your CRM's lead email or endpoint.
  2. 2New Marketplace and website leads are delivered as standard ADF/XML, so they drop straight into your existing workflow.

17. Appraise a trade-in (with disclosure & summary PDFs)

The Trade Appraisal page turns a walk-around into a signed, branded paper trail. Use the Appraise a vehicle button beside Desk a deal, or Appraisals in the menu.

19. Vehicle cost & real gross New

  1. 1In Settings → AI/Dealer Management, switch on cost tracking and choose whether sales reps can see cost, or only managers.
  2. 2A cost field appears on the desk (internal only). Front gross then shows on the deal, the Executive ROI dashboard and the Sales report.
  3. 3Cost is never shown to the customer — not on the estimate, bill of sale or any email.

20. Send documents for e-signature New

  1. 1On the deal desk, click Send for e-signature. It sends the exact bill of sale / estimate you generated — no DocuSign needed.
  2. 2The customer opens a secure link, reviews the document, draws and types their signature, and agrees to an e-sign consent — on phone or desktop.

21. Collect a deposit (Stripe, Square & bank transfer) New

Take a real, refundable deposit that lands straight in your own payout account — on your website and right inside a deal. MarketSync never holds the money.

  1. 1In Settings → Integrations → Payments, connect Online Deposits (Stripe) or Deposits (Square) — whichever you run your store on. Finish the provider’s secure onboarding, then set your default deposit amount.
  2. 2On any deal, click Collect deposit — set the amount (or use your default) and you get a secure link to copy, text, or open to take payment. Once paid, the customer record auto-stamps “deposit paid” with a “Deposit” tag.
  3. 3Shoppers can also pay a “Reserve this vehicle” deposit from your public site — it drops a lead + contact in the CRM instantly.

22. Verify a customer's identity (ID + selfie) New

Confirm a buyer is who they say they are with a real government-ID + selfie/liveness check. The ID images stay with the verification provider — MarketSync only records the pass/fail result and a short summary.

  1. 1Quick add from a licence: the Identity scan button in the top bar opens a new contact and fires the licence camera scan — AI reads the licence and fills in the customer’s details for you to confirm.
  2. 2Full certification: open a saved customer record and, under Identity verification, click Start verification. Send the customer the secure link (or open it on your device) — they photograph their ID and take a selfie.
  3. 3Press Refresh status to update the badge to ID verified (with name, DOB & selfie-matched), Awaiting customer, or Needs another attempt.

  1. 1Your Dashboard shows the Sales performance board — reps ranked by the numbers that matter: units sold, F&I gross and appraisals. Everyone sees where they stand at a glance.
  2. 2The full competitive board — podium, points & badges, and the My Team / Global comparison — lives under Marketing → Leaderboard for week/month competitions. Your rank chip in the top bar jumps straight to it.

32. Ask MarketSync — the AI brain

  1. 1Click the Ask MarketSync bubble. Ask real questions — "Which units are aging 60+ days?", "Anything priced off market?", "How's the RAV4 market?" — and it uses live tools to answer.

It can also do things with a confirm step: draft a task, send a bulk outreach, book an appointment, or reassign a lead to another salesperson — grounded in your dealer background and uploaded knowledge base.

33. Teams, roles & dealer groups

Open Settings from the gear icon. Everything lives under tabs: Team, Account, Branding, Language, Billing, AI, Dealer Group, Dealer Management, Integrations, Security.

  1. 1TeamSales and Management are login users; Service, Admin, Cleanup and Lot are simple name rosters you add and remove.
  2. 2Running multiple rooftops? An Owner/Dealer Admin can manage several stores under one dealer group, with roles controlling what each person sees.

34. Security & activity log New

  1. 1In Settings → Security, turn on 2-step login (2FA) with an authenticator app and save your backup codes.
  2. 2Add a passkey (Face ID / Touch ID / Windows Hello) for passwordless sign-in, and review where you're signed in.

35. Change your dashboard language

  1. 1Go to Profile & Settings → Language and pick your language — the whole dashboard switches instantly. It's per rep.

36. Turn features on or off

  1. 1Go to Settings → Dealer Management → Features.
  2. 2Flip any feature (Website, Automation, Equity Mining, Inventory Intelligence, Appraisals, Service, Reports) off to hide it for your whole store — turn it back on anytime.
  3. 3The left menu is colour-coded by area and starts collapsed — click a section name to open its page, or the arrow to expand its items.

37. Commissions & pay plans

Pay is calculated from the deal automatically — no spreadsheets, no month-end arguments. Reps see their own; managers see the team.

  1. 1Set a pay plan — a % of gross, a flat amount, or the greater of the two — globally or per vehicle. Add F&I pay for the F&I manager, and split deals between two reps.
  2. 2When a deal is delivered (§18), MarketSync computes every commission line — salesperson, co-sell split, F&I — and posts it to the rep's My commission page.
  3. 3Commission is earned when the deal funds/pays, and can be clawed back if a deal unwinds. Bonuses and clawbacks show right on the rep's profile.

38. Accounting — it mostly runs itself

Delivered deals, F&I income, tax and deposits post themselves to the ledger. Your team only types in expenses. Every day the books check themselves and email you if something's off.

  1. 1Reconciliation — a green “Day balances” or red “Books don't reconcile” banner, plus income, deposits, expenses and variance for the day.
  2. 2Bank account — link your bank (read-only) via Plaid so the daily check runs against real money. Expenses — the one tab your team fills in.
  3. 3Tax shows collected vs paid vs owing (auto-filled from deals). Reports gives the full ledger + CSV export. Settings sets alert emails, tolerance, and the auto-post switches.
