Complete How-To Guide

How to use every MarketSync feature

Everything your team needs — from installing the extension to appraising a trade, decoding a VIN, pricing to market and asking the AI assistant. Follow the steps for any feature below.

1. Getting started

Create your account and get the whole team into the dashboard.

  1. 1 Go to Sign up free and create your account — name, email, password. No credit card for the 30-day trial.
  2. 2 The first account at a rooftop becomes the Owner / Dealer Admin. From Profile & Settings you can invite salespeople and managers by email.
  3. 3 Each teammate signs in at the login page and lands on their own dashboard. The left menu is your navigation; the top bar stays fixed as you scroll.
Roles matter: Owner, Dealer Admin and Manager see team-wide tools (leaderboard, appraisals, settings). Salespeople see their own work.

2. Install the Chrome extension

The extension is what fills out Facebook Marketplace for you. Install it once per computer.

  1. 1 In the dashboard top bar, click Install extension to open the Chrome Web Store listing, then click Add to Chrome.
  2. 2 Pin the MarketSync icon to your toolbar so it's always one click away.
  3. 3 Click the icon and log in with the same email/password. The popup now shows your live vehicle queue with a Post button and a safe-to-post indicator on each car.
MarketSync is not a Facebook API. It works through the real Marketplace page in your own browser, so you always stay in control and click Post yourself.

3. Post a vehicle to Facebook Marketplace

  1. 1 Open Facebook and go to Marketplace → Create new listing → Vehicle.
  2. 2 Open the MarketSync popup and pick the vehicle you want to list. Click Post.
  3. 3 The extension fills in every field — year, make, model, mileage, price, description and photos — from your inventory.
  4. 4 Review, then click Facebook's Publish. Done in seconds instead of minutes.
Posting-safety guardrails: MarketSync spaces out posts and enforces a sensible daily cap so your Facebook account stays healthy. Vehicles that are safe to post are marked green in the popup.

4. Sync your inventory automatically

  1. 1 In Settings → Inventory, add your dealership website or inventory feed URL.
  2. 2 MarketSync pulls in every vehicle — photos, specs, price and description — and keeps it current.
  3. 3 When a car sells or the price changes on your site, the queue updates so you never post a stale unit.

You can also add or edit a vehicle by hand from the Inventory page if it isn't on your feed yet.

5. Generate AI listing copy — in any language

AI Boost

  1. 1 On any vehicle, generate the AI description with one click — MarketSync writes a persuasive, Marketplace-ready listing from the car's specs.
  2. 2 Prefer another language? In the extension, use the language selector above the post fields to generate the description in French, Spanish or any of 14+ languages.
  3. 3 Your chosen language is remembered per rep, so every future listing comes out in it automatically.

6. Photo overlays & AI Vision scoring

  1. 1 Turn on photo overlays in settings to stamp your phone number or dealer logo onto listing photos automatically.
  2. 2 With AI Vision AI Boost, MarketSync scores every photo for quality and coverage — are the exterior, interior, dash and engine all shown?
  3. 3 It picks the strongest hero image so your best shot leads the listing.

7. Work leads in the sales pipeline

  1. 1 Open the Pipeline page. New Marketplace leads land here and move through stages — New, Contacted, Appointment, Sold.
  2. 2 Drag a lead between stages or open it to log notes and book an appointment. You'll get appointment reminders so nothing slips.
  3. 3 Need a fast reply? Use AI reply drafts AI Boost to draft a friendly response to any lead in one click.
  4. 4 Mark a lead Sold to record who closed it — that feeds the leaderboard.

8. Track the team on the leaderboard

  1. 1 Open Leaderboard to see the podium — top reps by sales, plus a full ranked table.
  2. 2 Switch the timeframe (week / month) to run friendly competitions and spot who needs coaching.
  3. 3 Managers see everyone; salespeople see where they stand.

9. Appraise a trade-in (with disclosure & summary PDFs)

The Trade Appraisal page turns a walk-around into a signed, branded paper trail — like vAuto, streamlined.

  1. 1 Open Appraisal from the left menu and enter the VIN. MarketSync decodes it to pre-fill the year, make, model and full build.
  2. 2 Fill the Customer Information form and the disclosure — every condition question is on there, matching the standard format.
  3. 3 The logged-in salesperson is attached automatically; confirm or edit the name in the Sales Rep field at the top.
  4. 4 Click Notify Appraiser (right beside the rep) to ping a manager for a number — the menu shows all managers.
  5. 5 Save as PDF: you get a branded MarketSync disclosure with signature areas for customer and dealer (names printed), plus a Customer Summary Sheet.
  6. 6 Need factory docs for the trade? The decode panel has OEM brochure and window sticker buttons right at the top.
In Settings you can control appraisal visibility per rep — decide who can see the appraisals list. Saved appraisals live in the fixed right-hand sidebar on this page.

10. Pull a Carfax on every car

  1. 1 On the Inventory page, every car card has a branded Carfax button beside the brochure button.
  2. 2 Click it to open that vehicle's Carfax report directly — no hunting, no extra tabs opening.
  3. 3 Share it with a shopper on the spot to build trust and speed up the deal.

11. Decode a VIN & get window stickers

Inventory Intelligence

  1. 1 Open a vehicle and click Decode VIN. You get a rich breakdown — trim, engine, drivetrain, factory options and more (50+ fields).
  2. 2 Generate the factory window sticker to see original MSRP and equipment.
  3. 3 Produce a branded dealer brochure AI Boost to hand to shoppers or print for the lot.

12. Inventory Intelligence & Turn Rate

Inventory Intelligence

  1. 1 Open Insights for health scores across your lot — what's fresh, what's aging, what needs a price move.
  2. 2 Each unit shows a Turn Rate score based on days-on-lot, so you can act on slow movers before they cost you.
  3. 3 Run the Inventory Scan right on the Inventory page to surface pricing and merchandising gaps.
  4. 4 Review the Weekly Lot Health Report for a plain-language summary of what to restock and reprice.

13. Price prediction & market snapshot

Inventory Intelligence

  1. 1 On a vehicle, open the Market Price Report for a live US & Canada price-to-market read — where your price sits vs comparable listings.
  2. 2 Use AI price prediction during appraisal to land on a fair number fast.
  3. 3 Open the Market Snapshot to see supply, average price and days-to-sell for that year/make/model in your area.

Live market lookups have a fair-use daily cap to keep costs predictable — you'll see a note if you reach it.

14. Ask the MarketSync AI assistant

A floating assistant that actually knows your lot and the market. AI Boost Inventory Intelligence

  1. 1 Click the Ask MarketSync bubble in the corner of the dashboard.
  2. 2 Ask real questions and it uses live tools to answer: "Which units are aging 60+ days?", "Anything priced off market?", "How's the RAV4 market?", "Decode this VIN."
  3. 3 It can also explain how any MarketSync feature works — think of it as this guide, on demand.
The assistant has a daily message cap to keep usage fair and costs predictable.

15. Change your dashboard language

  1. 1 Go to Profile & Settings → Language.
  2. 2 Pick your language from the translate widget — the whole dashboard switches instantly. It's per rep, so your choice doesn't change anyone else's screen.
  3. 3 Your preference is saved and applied every time you log in, and drives the language of your AI-written Facebook listings too.

16. Manage dealer groups & roles

  1. 1 Running multiple rooftops? An Owner/Dealer Admin can manage several stores under one group.
  2. 2 Assign each teammate a role — Manager for store-wide visibility, Salesperson for their own pipeline and listings.
  3. 3 Roles control what each person sees — leaderboard, appraisals, settings and reports stay with management.

17. Send leads to your CRM

  1. 1 In Settings → CRM, add your CRM's lead email or endpoint.
  2. 2 New Marketplace leads are delivered as standard ADF/XML, so they drop straight into your existing workflow.
  3. 3 Keep working leads in the MarketSync pipeline, your CRM, or both — they stay in sync.

18. CRM: contacts, leads, tasks & calendar

The CRM menu (green) opens the page; the arrow beside it expands its sub-items. Every lead, appraisal and sale lands on one customer record.

  1. 1 Add / Search Customers — search every contact by name, email or phone. Sold Customers jumps straight to a filtered list of sold / F&I / delivered deals.
  2. 2 New Leads — Marketplace and other leads, each showing the assigned salesperson (auto-routed by a random pick within the matching new/used team).
  3. 3 Appointments — a month calendar of every booking. Book one from a customer's record ("Book appointment") and it shows on the calendar, with calendar-link buttons for the rep.
  4. 4 Tasks — your follow-up queue. Automation and lead routing drop tasks here automatically so nothing slips.
  5. 5 On the activity timeline, tap ↩ Reply on an inbound message to answer by email (sends) or log a text/call reply.

19. Reports & custom report builder

The Reports menu (red) is manager-only. It stacks your store's key reports and a build-your-own tool.

  1. 1 Executive summary, Inventory mix & aging (0–30/31–60/61–90/90+ buckets, by colour, mileage, make), and Sales analysis (what sold, days-to-sell).
  2. 2 Custom report — pick a data source (Sold deals per rep or Inventory), a salesperson or status, a date range, and which columns to show.
  3. 3 Export CSV — the sold-deals report exports the full 40-column layout for your spreadsheet.

20. Desk a deal

  1. 1 Open CRM → Desk a Deal, or click Desk a deal on any sold / delivered customer record.
  2. 2 Pick the customer, then fill the F&I desk record — delivery date/time, F&I manager, deposit, deal type, term, plates, products, commissions, GM survey and more.
  3. 3 Saved values flow straight into the sold-deals report and its CSV export.

21. Automation & follow-up tasks

The Automation page is every automated text & email in one place — flip them on, edit the wording, or rewrite with AI. Compliance kill-switches run behind the scenes.

  1. 1 Toggle campaigns across the pipeline, post-delivery retention, reviews, referrals, equity, and birthdays/holidays.
  2. 2 Sales-rep tasks — turn on Next-Day Reach-Out, 30-Day and 90-Day Follow-Up. Instead of messaging the customer, these drop a follow-up task on the lead's assigned rep (they show in CRM → Tasks). Off by default.
  3. 3 Set global bits (Google review link, referral bonus, service URL, house numbers, business hours) once and every template uses them.

22. Teams & the Settings hub

Open Settings from the gear icon at the top right. Everything lives under one set of tabs: Team, Account, Branding, Language, Billing, AI Boost, Dealer Group, Dealer Management, Security.

  1. 1 Team — pick a team from the dropdown: Sales and Management are your login users; Service, Admin, Cleanup and Lot are simple name rosters (no logins) you add and remove.
  2. 2 Each tab shows only its own settings, so the page stays tidy.

23. Turn features on or off

  1. 1 Go to Settings → Dealer Management → Features.
  2. 2 Flip any feature (Website, Automation, Equity Mining, Inventory Intelligence, Appraisals, Reports) off to hide it from the menu for your whole store — turn it back on anytime.
  3. 3 The left menu is colour-coded by area and starts collapsed — click a section name to open its page, or the arrow to expand its items.
